Visit proton.me and click Create a Free Account. ProtonMail offers a free tier with one email address and limited storage, as well as paid plans with custom domains, additional addresses, and more storage. During registration, choose your desired email address ending in @proton.me or @protonmail.com. Create a strong, unique password that you do not use for any other service. ProtonMail will then ask you to set a mailbox password or encryption key. This second password is used to encrypt your mailbox and is separate from your login password on some configurations. ProtonMail cannot access your emails because they are encrypted with your keys. This means ProtonMail staff, law enforcement requests, and hackers who breach their servers cannot read your messages. ProtonMail is based in Switzerland, which has some of the strongest privacy laws in the world, providing additional legal protection for your data.
After creating your account, log in and navigate to Settings by clicking the gear icon. Under Email Privacy, enable Block email tracking to automatically strip tracking pixels from incoming emails. Tracking pixels are tiny invisible images embedded in emails that report when you open the message, your IP address, your location, and your device type. Enable the setting to request link confirmation before opening external links in emails, which prevents you from accidentally clicking tracking links. Under Security, enable two-factor authentication (2FA) using an authenticator app like Authy or a hardware security key. Do not use SMS-based 2FA as it is vulnerable to SIM swapping attacks. Under Privacy, review the logging settings and ensure session logging is minimized. Set up a recovery email address or recovery phrase in case you lose access to your account, but be aware that the recovery email is a potential privacy weakness if it is hosted by a provider that does not respect privacy.
If you are migrating from Gmail, Outlook, Yahoo, or another email provider, ProtonMail offers an Import-Export tool to transfer your existing emails. In ProtonMail settings, go to Import via IMAP and follow the prompts to connect your old email account. You will need to enter the IMAP server details and credentials for your old account. For Gmail, you may need to generate an App Password if you have two-factor authentication enabled. ProtonMail will import your emails, maintaining the original folder structure and labels. The import process can take several hours or days depending on the size of your mailbox. During import, your old emails are encrypted with your ProtonMail encryption keys, meaning they gain the same protection as new emails once transferred. After the import is complete, verify that important emails are present and properly organized. You do not need to delete your old email account immediately; you can set up forwarding first to catch any messages still going to your old address.

To ensure a smooth transition without missing important emails, set up forwarding from your old email account to your new ProtonMail address. In Gmail, go to Settings, Forwarding and POP/IMAP, and add your ProtonMail address as a forwarding address. Confirm the forwarding by clicking the verification link sent to your ProtonMail inbox. In Outlook, go to Settings, Mail, Forwarding, and enter your ProtonMail address. In Yahoo Mail, go to Settings, More Settings, Mailboxes, and set up forwarding. After enabling forwarding, gradually update your email address across all your online accounts, subscriptions, and contacts. Start with the most important services like banking, healthcare, government services, and social media. Update your email in password manager entries as you go. This migration process typically takes several weeks to complete thoroughly. Keep the forwarding active until you are confident that all important services have been updated.

ProtonMail provides end-to-end encryption automatically when you send emails to other ProtonMail users. The lock icon in the compose window indicates encryption status: a blue lock means the email will be end-to-end encrypted (ProtonMail to ProtonMail), and a green lock indicates PGP encryption with an external contact. For sending encrypted emails to non-ProtonMail users, you have several options. Use the Password-Protected Message feature by clicking the lock icon in the compose window and setting a password. Share this password with the recipient through a separate channel like a phone call or messaging app. The recipient will receive a link to view the encrypted message on a ProtonMail web page where they enter the password. You can also set an expiration time for these messages. For technical users, ProtonMail supports PGP encryption. Import your contacts PGP public keys through the Contacts section to enable automatic PGP encryption for emails to those contacts.
Download the ProtonMail app from the App Store for iPhone or Google Play Store for Android. The mobile apps provide the same encryption and privacy protections as the web interface. Log in with your ProtonMail credentials and enable biometric authentication for quick access. Configure notification settings carefully. On the lock screen, set notifications to show just the sender name or a generic notification rather than the full email content to prevent shoulder surfing. ProtonMail also offers Proton Calendar, Proton Drive, and Proton VPN as part of the Proton ecosystem, all designed with privacy as the core principle. Consider using Proton Calendar to replace Google Calendar and Proton Drive to replace Google Drive for a comprehensive privacy-respecting productivity suite. For desktop users, download the Proton Mail Bridge application, which creates a local IMAP and SMTP connection allowing you to use ProtonMail with desktop email clients like Thunderbird, Apple Mail, or Outlook while maintaining end-to-end encryption.
